Emails- the most traditional form of communication

Well, you should know that the technological landscape keeps on changing and this type of technological evolution has surely affected the way businesses communicate and stay in touch with each other. But you should know that even in this modern era, the most traditional communication channel has not lost its value and that communication channel is email.

Well, you should know that emails are also used for marketing purposes as emails are considered more responsive than any other form of communication medium. But if you are using emails in the modern era, then you definitely need to stay safe and secure as criminals are always on the hunt of targeting weak email-based communication systems.

Never miss two-factor authentication

​If you are really serious about keeping your email account safe then instead of relying on the traditional login method in which you just enter the credentials and gain access, you should start using the two-factor authentication. In most of the modern-day email platforms, you can easily enable two-factor authentication and add an extra layer of security on your emails. If you will enable two-factor authentication then in addition to entering your credentials, you will also need to enter an OTP sent on your registered mobile. You should know that this OTP will expire in one or two minutes and there is no chance that a criminal can get access to your OTP.

Encryption email is a better choice

​You should know that corporate data breaches have affected millions of people. There have been many instances where hackers have been able to get into the server of some of the biggest companies in the world and they stole very sensitive information from their email system. Well, this is one of the main reasons why you should start using encryption email instead of opting for normal emails. If you will use encryption mail then your data will be encrypted and it will nothing more than a piece of trash for any unauthorized person. The authorized person will be able to easily unencrypt the email and thus you will be able to make your email communication safer without hampering the quality of communication.

Set expiration date

​There is no denial in the fact that most of the people using emails don’t’ like a messy inbox but another side of this fact is that most of the people even don’t like deleting the emails in their inbox because, in most of the cases, they think it is a waste of time. You should know that if you will send sensitive information to your client in the form of an email then it may sit in their inbox for a very long period of time and this is why you will need to set an expiration date on your messages. If you will set an expiration date on your emails then the email that you will send to your client or any other person will automatically get deleted after a particular time that will be set by you.

Go through the TOS of your email service provider

In most of the cases, you must be just checking the Terms and Conditions of your email service provider as a formality but if you are really serious about the safety of your emails then you should definitely go through the TOS of your email service provider in a detailed manner. If you will go through the TOS in a detailed manner then you will be able to understand how the email service provider ensures the security of your data and which type of policy are they using.

Well, being safe with your emails has become a necessity for each and every type of business. If you are not able to keep your email secure then you are making your business data and information vulnerable to various kinds of security risks.
